The Gift Processing Manager leads gift processing operations for PBS Wisconsin and Wisconsin Public Radio, ensuring the accurate, timely, and compliant recording of contributed revenue in constituent management systems that drive donor relationships and support financial reporting. This position supervises a team of three Gift Processing Specialists, overseeing the recording of donations across multiple giving channels and transaction types, as well as related account data hygiene procedures. This role reviews and approves complex gift transactions, including adjustments, reversals, refunds and corrections, and ensures that gifts are accurately recorded to support fundraising, donor acknowledgment and financial reconciliation.

This is a working manager role, which requires both hands-on execution of gift processing and account management tasks, and leading and supervising the work of the gift processing team. This role also serves as a resource for best practices around gift entry for fundraising staff, with an emphasis on Membership and Major Gifts.

A typical workday for the Gift Processing Manager may include processing and adjusting transactions, creating work plans and schedules for the gift processing team, conducting staff training or review on procedures and updating related documentation, coaching direct reports to improve accuracy and efficiency, exporting data and reports for donor communications or quality control and troubleshooting issues that arise, and answering questions via email and chat.

A successful candidate for this role holds high standards for the accurate and timely recording of donors’ contributions, possesses strong organizational and communication skills to plan and direct shared work with a team, approaches change and new technology with positivity and curiosity, and is a supportive leader who coaches and empowers others to grow in their skills and knowledge. They also possess the ability to perform highly detail-oriented work for long periods, as well as pause and resume complex tasks while maintaining accuracy and continuity of workflow.

This is a full-time position that works core business hours, Monday – Friday, 8:00 a.m. – 4:30 p.m. Evening and weekend hours are required during quarterly member drives. This work is pre-scheduled and may be performed remotely, at an off-site, non-campus work location that meets the requirements of a Flexible Work Arrangement (FWA). 

This is a hybrid position, with a minimum of two days per week in person on the University of Wisconsin Madison campus in Madison, WI. During the initial three-month training period, on-site work is required. The final schedule can be discussed in the offer stage, but fully remote candidates will not be considered. 

Remote work requires an approved flexible work arrangement (FWA). A FWA requires successful candidates to possess their own high-speed internet and phone to perform the work on a university provided computer. Per University policy, transportation between home and assigned work location is not payable/reimbursable and will be at the expense of the employee. Hybrid work arrangements may be discussed in more detail during the interview process. 

This position requires the ability to sit or stand at a desk and use a computer, keyboard, and mouse for several hours at a time.
