We are seeking a highly organized and detail-oriented Sales Support Coordinator to play a key role in supporting our sales team and ensuring smooth day-to-day office operations. This full-time, in-office position is responsible for overseeing order processing from entry through fulfillment, maintaining accurate documentation, coordinating administrative workflows, and facilitating clear communication between internal departments and clients.

Key Responsibilities:

  • Serve as a primary point of contact for internal teams and clients by managing and responding to email communication in a timely and professional manner
  • Review and process client orders to ensure accuracy, completeness, proper approvals, and seamless execution from entry through fulfillment
  • Generate, analyze, and distribute daily, weekly, and monthly performance reporting with a high level of accuracy
  • Prepare, distribute, and track contracts and supporting documentation, ensuring timely collection of signature and proper record retention
  • Manage electronic document workflows, including sending, monitoring, and following up on DocuSign agreements to ensure efficient turnaround
  • Provide production support to the sales team, including coordinating script distribution, asset delivery and campaign materials
  • Maintain organized digital and physical filing systems for contracts, scripts, audio files, reports and client documentation
  • Accurately update internal systems with campaign details, billing information, spend tracking, and other client data
  • Attend regular meetings, document key discussions and action items, and proactively follow up to ensure accountability and completion


Qualifications:

  • 2+ years of experience in administrative, sales support, operations or office coordination role preferred
  • Proven ability to manage multiple priorities in a fast-paced environment while maintaining exceptional attention to detail and accuracy
  • Strong written and verbal communication skills, with the ability to interact professionally with internal teams and clients
  • High level of organization and time management skills, with the ability to anticipate needs and problem solve proactively
  • Proficiency in Google Workspace/Microsoft office as well as Excel/Sheets
  • Experience with CRM systems, document manager platforms and shared drive environments
  • Ability to handle confidential information with discretion and professionalism
  • Self-motivated, dependable, and committed to delivering high quality, accurate work
